Estimoto Privacy Policy
This policy explains what Estimoto collects, why we use it, when it is shared, and the controls available to you.
1. Scope
This policy applies to the Estimoto mobile app, website, web dashboard, support channels, and related estimating and shop-workflow services (the “Services”). Estimoto is built for businesses. A shop may provide information about its employees, customers, vehicle owners, adjusters, or other people while using the Services. We do not use advertising IDs, track people across other companies’ apps or websites, or serve targeted ads.
2. Information we collect
- Account and shop information: name, email address, phone number, job title, professional license number, authentication information, workspace role, preferences, shop name and address, labor rates, and other settings.
- Customer, vehicle, claim, and repair information: customer contact details, VIN and other vehicle details, insurer and claim details, adjuster information, estimates, repair operations, parts, rental, delivery, and workflow records.
- Photos, files, and annotations: vehicle-panel and damage photos, dent locations and measurements, insurance-card images, prior estimates, repair documents, and exported files.
- Connected-service information: if a workspace connects a third-party service, we receive the content and metadata needed to provide the requested feature.
- Billing information: plan, subscription, usage, invoice, and payment status. Payment-card details are collected and processed by our payment provider; Estimoto does not store full card numbers.
- Technical and support information: IP address and request information, device or browser type, app version, crash diagnostics, security events, and support messages.
- SMS consent information: the mobile phone number and opt-in consent record of customers who choose to receive text messages (see Section 7).
3. How we collect information
We collect information that you enter, upload, scan, photograph, or send; information created as your shop uses the Services; information from services you choose to connect; and limited technical information produced automatically when the Services communicate with our systems.
4. How we use information
- Provide accounts, workspace access, estimates, reports, exports, sync, delivery tracking, billing, and support.
- Detect and measure vehicle damage, suggest repair operations and pricing, and let shop personnel verify or correct those results.
- Secure the Services, authenticate users, enforce workspace permissions, prevent abuse, troubleshoot errors, and maintain audit records.
- Communicate about a request, account, subscription, service change, or product update, according to applicable preferences.
- Analyze performance and improve Estimoto.
- Comply with law, resolve disputes, and enforce our agreements.
5. Automated and AI-assisted processing
Estimoto uses automated and, when enabled for a feature, AI-assisted systems to analyze panel photos, vehicle information, repair data, parts information, and estimating inputs. Results are suggestions for trained shop personnel to review; they are not final repair or insurance decisions.
6. When we disclose information
- Within a workspace: information is available to authorized members of the shop workspace according to their role and permissions.
- Service providers: hosting, database, storage, identity, email, SMS delivery, diagnostics, AI processing, vehicle-data, shipment-tracking, integration, and customer-support vendors process information for us under instructions and safeguards.
- Payment processing: Stripe processes checkout, billing, and payment information under its own privacy terms.
- Legal and safety: we may disclose information when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or respond to lawful process.
- Business changes: information may transfer as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and notice requirements.
Estimoto does not sell personal information or share it for cross-context behavioral advertising.
7. SMS and text messaging
Shops using Estimoto can send text messages to customers who have opted in, including estimate links, approval requests, repair status updates, pickup notifications, appointment reminders, and replies to customer questions. Customers opt in in person at the shop by checking an optional text-message consent box, which is never pre-checked, on the shop’s repair intake form. Opting in is a separate, voluntary choice from authorizing the repair: it is never required to use the service, create an account, book an appointment, or complete any purchase, and customers who decline receive identical service and are never messaged. This in-person form is the only opt-in method. When you opt in, we collect your mobile phone number and a record of your consent, including when and how you agreed.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding vendors and service providers acting on Estimoto’s behalf solely to deliver the messages you requested (such as our SMS delivery provider).
Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP to any message; reply HELP or email hello@estimoto.io for help. See our SMS terms for full program terms.
8. Connected email
If an authorized workspace user connects an email integration, Estimoto requests read-only access to identify order and shipping messages, extract carrier tracking numbers, and match them to parts already recorded in that workspace. The connection can be removed at any time in dashboard settings. Estimoto’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
9. Retention and deletion
We keep account information while the account is active and keep workspace records for as long as the shop uses the Services or as reasonably needed for repair documentation, contracts, billing, security, dispute resolution, and legal obligations. A signed-in user can delete their account in the mobile app from Settings → Security & privacy → Delete my account.
10. Your choices and privacy rights
You can manage device permissions in system settings, disconnect integrations in the dashboard, export information associated with your identity, and delete your account in the app. Depending on where you live, you may have additional rights to know, access, correct, delete, or receive a portable copy of personal information, and to appeal a denied request. 11. Security
We use technical and organizational safeguards designed to protect information, including encrypted network transport, role-scoped workspace access, encrypted or access-controlled credentials, recent-sign-in checks for destructive account actions, and security logging. No system is completely secure, so we cannot guarantee absolute security.
12. Children’s privacy
The Services are for businesses and are not directed to children under 13. We do not knowingly create accounts for or collect personal information directly from children under 13.
13. Changes and contact
We may update this policy as the Services or legal requirements change. We will post the revised policy here and update its effective date. For privacy questions or requests, email hello@estimoto.io.
